An escape room runs on seven kinds of software, not one all-in-one platform. This is what each category actually costs in 2026, using published vendor prices where they exist, and what a lean working stack adds up to.

Booking
The booking system is the one piece every operator has. Pricing splits into two models: a flat subscription, or $0/month with a per-transaction fee instead.
- Bookeo – Standard plan $39.95/month (20 products, 20 staff logins, 1,000 bookings/month), no per-booking commission. Digital waivers are a paid add-on from $9/month. Large and X-Large tiers run $79.95 and $119.95/month.
- Xola – no monthly fee; 2.39% + $0.30 per transaction instead. Includes POS/ticketing, 80+ integrations and reporting.
- FareHarbor – $0/month subscription; a 6% booking fee (5 to 8%, negotiable) is added at checkout, plus card processing around 2.9% + $0.30.
- Checkfront – $99/month plus a 3% online booking fee (0% on offline bookings). Higher Growth and Managed tiers are quoted by resellers but not confirmed on Checkfront’s own pricing page.
If you sell mostly private bookings and want a predictable bill, a flat plan like Bookeo’s beats the percentage-fee tools once volume climbs. If bookings are seasonal, a $0/month plan with a per-transaction fee costs nothing in the slow months.
Waivers
- Smartwaiver – tiered by waiver volume: Basic $19/month (100 waivers), Starter $55/month (300), Business $155/month (1,000), Premium $199/month (2,500). A storage-only plan is $7/month for venues not actively collecting new waivers.
- WaiverForever – free Starter plan, then Essential $19/month, Standard $39/month, Scale $129/month. Paid plans include 50 free submissions/month with per-waiver pricing above that.
- Wherewolf – waiver and guest-marketing platform for adventure operators; exact monthly prices aren’t published, pricing is negotiated directly with the vendor.
Escape Room Master (below) also sells a waivers add-on at $19.95/month if you’d rather keep it inside the same suite as your game control.
Game control
This is the game master’s console: hint delivery, room timers, win/lose tracking, sometimes leaderboards.
- Escape Room Master – Game Master module $69/month per location (the most-used tier); optional Leaderboards, Waivers and Personality Analysis add-ons are $19.95/month each. Lifetime one-time-payment plans are also offered.
- Houdini Master Control – one-time lifetime license, not a subscription: €150 for 1 license, €300 for 3, €500 for 6. Buyers get a free 12-month sWaiver Professional subscription or 50% off its Business plan.
- Mythric M3 (Mystery Master) – $75/month per location (or $825/year, one month free), unlimited rooms per location, all features on a single plan, 30-day free trial. Integrates with Bookeo and FareHarbor.
If you never want another monthly line item for game control, Houdini’s one-time license is the only option in this category that isn’t a subscription.
Photos
- Buzzshot – the specialized tool here: tablet or phone app captures team photos with a live overlay so no one is hidden, brands them automatically with team name, room, time and win/lose graphics, then emails and texts them to guests using the waiver contact info. Priced by monthly player volume: £25/month up to 100 players, rising to £410/month up to 5,000, plus £39/month per additional location. Unlimited SMS and 20,000 broadcast emails a year are included on every tier.
No second dedicated photo-and-delivery vendor for escape rooms turned up in this research (the Buzzshot alternatives post covers the other jobs in its bundle). The alternative most small venues actually run is manual: a staff phone camera and a group text or AirDrop after the game. It costs nothing and doesn’t scale past a handful of groups a day, and there’s no branding, no automatic delivery and no data trail for a follow-up email.
Post-visit and reviews
Once the game ends, this category covers getting the guest to come back and getting them to leave a review.
- SpiniX – a QR prize wheel guests scan on the way out: every guest wins a prize, gets it as an Apple or Google Wallet pass, and is shown the venue’s Google review link with no condition attached. Starter is $79/month (GBP 69) for 1 location and 500 spins a month; Growth is $149 (GBP 129) for 3 locations and 2,500 spins; Venues is $299 (GBP 259) for 10 locations and unlimited spins. Yearly billing is 10 months for the price of 12, there’s a 30-day money-back guarantee, and no setup fee or contract. It doesn’t integrate with any booking, waiver or POS system – contacts export as a CSV instead. - NiceJob – Reviews plan $75/month (automated review requests, social proof widgets, integrations); Pro plan $125/month adds referral campaigns, gift automation and AI review replies. 14-day free trial, no contract.
- Podium – doesn’t publish pricing; it’s quote-only. Third-party pricing trackers report roughly $399 to $999+/month plus a mandatory $5/month per-location fee, but none of that is confirmed on Podium’s own site.
- Birdeye – also quote-only. Third-party trackers report roughly $299 to $449/month per location, plus a $500 to $1,500 onboarding fee and an around-8% renewal “innovation fee” – again, not published by Birdeye itself.
Two of these four tools publish a starting price, and NiceJob’s is $4 a month lower than the Starter plan above, for review requests without the prize wheel or the Wallet pass. The other two are quote-only, so comparing them means asking each for a quote rather than reading a price sheet.
POS and gift cards
- Square – Free plan at $0/month; Plus is $49/month, Premium $149/month. Processing runs 2.5% + 15c in person or 2.9% + 30c online on the free tier.
- Toast – Starter Kit is $0/month in software fees for one location, but processing runs 2.99% + 15c and hardware is financed rather than free; a third-party breakdown puts the typical small-venue all-in cost around $560 to $585/month once processing and hardware financing are counted. Toast’s own pricing page wasn’t reachable to confirm current tiers directly.
For a single-location escape room selling drinks, snacks and gift cards at the counter, Square’s free tier is the lower-friction start; Toast is built for a food-and-beverage operation with a full kitchen, which most escape rooms don’t have.
- Mailchimp – Free plan at $0/month (250 contacts); Essentials from $13/month at 500 contacts; Standard from $20/month; Premium from $350/month. Prices scale with list size.
- Klaviyo – Free plan (250 profiles, 500 emails/month); paid Email plan starts at $20/month for 500 profiles / 5,000 emails, scaling to $400/month at 25,000 profiles. Billed monthly, no annual discount on self-serve plans.
Most single-location rooms stay on the free tier of either for a long time – 250 contacts is a lot of groups before it fills up.
A lean stack and what it costs
A single-location escape room that wants one tool per job, at the cheapest published tier that does the whole job described in the table. For post-visit that means the prize wheel, the Wallet pass and the review link together; NiceJob’s $75 Reviews plan is $4 a month cheaper but covers review requests only, so it is not in this stack.

That’s six of the seven categories, all billed in USD. Photos is the exception: Buzzshot’s cheapest tier is £25/month (up to 100 players), billed in GBP with no published USD price, so it’s kept separate rather than added into a single mixed-currency total. Add it and the lean stack runs about $207/month plus roughly £25/month for photo delivery.
This total leaves out per-transaction and processing fees (Square’s card-processing percentage, for example), any add-ons beyond the base tier, and any tool priced above its cheapest listed plan – a busier or multi-room venue will pay more once volume, extra locations or higher waiver counts push past the entry tier.

Is there one platform that does booking, waivers, game control and marketing together?
Not fully, based on what’s published. Escape Room Master comes closest for game control plus waivers and leaderboards as add-ons, and Mythric M3 integrates directly with Bookeo and FareHarbor for booking. Photos, reviews and email marketing still run as separate tools on top.
What’s the cheapest way to run an escape room’s software stack?
Free or $0-subscription options exist in four of the seven categories: Square (POS), Mailchimp or Klaviyo (email), FareHarbor or Xola (booking, at $0/month plus a per-transaction fee) and WaiverForever’s free Starter plan (waivers). Do any of these tools integrate with each other?

Buzzshot’s photo and marketing tool has native integrations with Resova, Xola, Bookeo, FareHarbor and Checkfront, auto-creating a group against the right date, room and timeslot when a booking comes in. Most other pairings across categories aren’t published as native integrations.
Why don’t Podium and Birdeye list their prices?
Both are quote-only reputation platforms; neither publishes pricing on its own site. The dollar figures widely quoted online (roughly $399 to $999+/month for Podium, $299 to $449/month for Birdeye) come from third-party pricing trackers, not the vendors themselves, so treat them as estimates rather than confirmed list prices.
